Description

Contract Days - 226

 

Primary Purpose:

 

Ensure efficient operation of school administrative office and provide clerical services for school's administrative staff.

 

Qualifications:

 

Education/Certification:

High School Diploma or GED

 

Special Knowledge/Skills:

Proficient typing, word processing and file maintenance skills

Effective organizational, communication and interpersonal skills

Ability to use personal computer and software to develop spreadsheets and database

Knowledge of basic accounting principles

 

Minimum Experience:

One to three years of secretarial experience, preferably in public education environment

 

Major Responsibilities and Duties:

  1. Assist the principal with all his/her duties
  2. Take all phone calls for the principal as needed
  3. Schedule appointments
  4. Maintain campus/principal's calendar
  5. Maintain campus budget and planning

            A) Responsible for all campus deposits general operating/activity fund/trust fund (scholarships, 

            Every 15 minutes") receive, prepare deposits, write receipts, take to the bank

            B) Oversee purchasing, spending, accounting

            C) Maintain up to date information on all district financial procedures

            D) Assist other staff with financial procedures and processor

            E) Type, log and handle all PO, DP, BA, BT

 

       6.  Deal with emergencies as they occur

 

            A) Help to monitor two way and emergency radios

            B) Deal with fire, police and community representatives in emergency situations

            C) Report all incidents or emergency situations to the central office.

 

       7.  Order supplies

 

       8.  Maintain all campus personnel files and other files as needed.

 

       9.  Manage administrative requirements related on employee accidents/incidents.

 

      10.  Retain employee evaluations

 

      11.  Process requests for personal business and other absences

 

      12.  Help coordinate all campus functions/activities (Open House, Graduation, Awards Ceremonies, etc.)

 

      13.  Contact person for Xerox machines

  

             A) Assist other personnel with the operation of Xerox machines

             B) Maintain and enter codes/limits

             C) Maintain paper, toner/staple supplies

             D) Order service when needed

 

      14.  Process transportation requests for campus

 

      15.  Back up other school personnel as needed

 

      16.  Maintain lines of communication between students, parents, staff, administration and community

             (Answer questions and provide information as needed)

 

      17.  Assist in coordination of duties, schedules and assignments of other clerical personnel

 

      18.  Coordinate scheduling of school facilities

 

      19.  Interacts with students, parents, all campus personnel, district personnel, police and community

             members

 

      20.  Perform all other duties as assigned by the principal

 

Supervisory Responsibilities:

 

Monitor the work of campus secretaries and clerical aides

1.  Manage use of TRUE TIME for all paras

     A) Make corrections as needed

     B) Maintain documentation and add comp time as needed

     C) Collect, approve, maintain copies and send hard copy time sheets to payroll

2.  Process time sheets/payroll summary sheets for tutoring and extra duty pay

 

Equipment Used:

 

Personal computer, typewriter, printer, copier, fax machine and calculator

Mental Demands/Physical Demands/Environmental Factors:

Maintain emotional control under stress; work with frequent interruptions.  Repetitive hand motions; prolonged use of computer.  Must be able to work independently.  Must set priorities and be consistent.
